The platform was consistently updated with new invoice documents, which needed to be monitored in real-time. These invoices had to be matched with actual documents, checked for accuracy, and reviewed for missing or erroneous data fields. Incorrectly mapped fields had to be corrected, and the data needed to be standardized to validate invoices for further processing toward payment.
OCR Mismatch Errors: Errors occurred during the conversion and storage of invoices and supporting documents in the system. For example, a ‘5’ or ‘1’ could be misinterpreted as ‘S’ or ‘I’, resulting in discrepancies and incorrect entries.
Extraneous Characters: Issues like commas being read as periods, extra spaces, and incorrect hyphenation all led to critical errors.
Incorrect Mapping or Missing Fields: The platform automatically captured invoice data from digital invoices. However, due to varying invoice formats from different suppliers, the software occasionally failed to map data to the correct fields or made incorrect mappings.
